Privacy Policy

This document applies to AskBooked Experts and every other AskBooked connector.
1. Who we are
AskBooked is a trading name of BRAZAUSTRA PTY LTD (ABN 45 647 949 488), Queensland 4216, Australia (“AskBooked”, “we”, “us”). We are responsible for the personal information described in this policy. You can reach us about privacy at support@askbooked.com.
2. What this policy covers
This policy explains how we handle personal information when you use our connectors through AI assistants such as Claude, ChatGPT and Muse, visit askbooked.com, contact us, or use the partner portal as a business. It does not cover how AI assistants, businesses or Stripe handle information under their own policies.
3. Information we collect
When you book or ask about a service
- Your request: the service you want, preferred dates and times, budget and any booking notes you choose to add.
- Location information: the place you search near (for example a suburb, city, postcode or address), which we convert to approximate coordinates to find nearby businesses. We do not collect precise device location from your phone.
- Details that affect price or suitability: for example a pet’s species and size, a vehicle’s size and model, the number of guests or players, a child’s age and level, a home size, or the number of documents.
- Contact details: your name, email address and phone number, so the business and we can confirm and manage your booking.
- Account identifiers: an identifier for your account provided through the AI assistant or our sign-in, so that you can see, change and cancel your own bookings. We record when you agreed to our Customer Terms and which version.
- Booking records: the options shown to you, the booking you chose, its status, price, payment status and any cancellation or refund.
When you use the partner portal
- Account information: name, email address, phone number, sign-in details (managed by Google Firebase Authentication), and acceptance of our Partner Terms.
- Business information: business name, address and location, contact details, opening hours, services, prices, policies and settings.
- Payments information: your Stripe account identifier and its status (for example whether charges are enabled). Bank details and identity verification are provided to Stripe directly, not to us.
Automatically
- Technical data: IP address, browser type, device information, pages visited and timestamps in server logs, used for security, debugging and to keep the service running.
- Essential cookies: see section 14.
When you contact us
The contents of your message and any details you provide, so we can respond.
4. Information we don’t want
We design our connectors not to collect sensitive information. Please do not share, and our connectors will not ask for: health information such as symptoms, diagnoses or medications; health insurance member numbers; the contents of documents to be notarized or translated; government identification numbers such as Social Security numbers; children’s surnames, photos, school or medical records; or payment card numbers (payments are entered only on Stripe’s secure page).

We do not use your personal information for automated decisions that have legal or similarly significant effects on you. We rank booking options using factors such as relevance, price, distance, availability and rating.
6. How we share information
- The business you book. We share your name, contact details, booking details and notes with the business so it can provide the service. The business handles that information under its own privacy practices.
- Stripe. Payments are processed by Stripe directly for the business. Stripe collects your payment details on its own secure page and handles them under the Stripe Privacy Policy.
- AI assistant providers. When you use AskBooked through an AI assistant, the information you type and our responses (such as options and booking confirmations) pass through that assistant’s provider (for example Anthropic, OpenAI or Meta), which handles them under its own privacy policy.
- Service providers who process information on our behalf under contract, including cloud hosting and databases (Google Cloud and Firebase), website hosting (Vercel), geocoding (OpenStreetMap Nominatim or Google Maps Platform, which receive the place text you search for) and email delivery.
- Legal and safety. Where required by law, legal process or a government request, or where reasonably necessary to protect the rights, property or safety of any person.
- Business transfers. As part of a merger, acquisition or sale of assets, subject to this policy continuing to apply.
7. No sale of personal information
We do not sell personal information, and we do not share it with third parties for cross-context behavioural or targeted advertising. We do not allow businesses to use booking information for marketing unless you separately agree with them.
8. International transfers
We and our service providers may process information in the United States and other countries, which may have different data protection laws from where you live. Where required, we use appropriate safeguards such as standard contractual clauses, and we take reasonable steps to ensure overseas recipients handle information consistently with this policy and applicable law, including Australian Privacy Principle 8.
9. How long we keep it
- Search options (quotes) expire after about 15 minutes and are deleted routinely.
- Booking records are kept for up to 7 years after the booking date to meet tax, accounting and dispute-resolution needs, unless a longer period is required by law.
- Partner accounts are kept while the account is active and for up to 7 years after closure for the same reasons.
- Server logs are kept for up to 90 days unless needed to investigate a security issue.
When information is no longer needed, we delete or de-identify it.
10. Security
We use industry-standard safeguards, including encryption in transit, restricted access to production data, server-side access controls on our database, and secure session cookies. No system is perfectly secure; if a data breach affects you, we will notify you and regulators as required by law.
11. Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate or incomplete information;
- delete your information (subject to records we must keep by law);
- object to or restrict certain processing, and withdraw consent where we rely on it;
- receive your information in a portable format;
- opt out of the sale or sharing of personal information (we don’t do this) and limit the use of sensitive information (we don’t collect it intentionally); and
- not be discriminated against for exercising your rights.
To make a request, email support@askbooked.com. We will verify your request using information associated with your account or booking, and respond within the time required by law (generally 30 days in Australia, 30 days under PIPEDA, one month under the GDPR, and 45 days under US state laws). You may use an authorised agent where the law allows. If we decline a request, we will explain why and how you can appeal.
12. Region-specific information
Australia
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. You may deal with us anonymously or using a pseudonym where practicable, although we need contact details to make a booking. If you are not satisfied with our response to a complaint, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
Canada
We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial laws, including Quebec’s Law 25. You may complain to the Office of the Privacy Commissioner of Canada or your provincial regulator.
United States
Residents of California and other states with comprehensive privacy laws (such as Colorado, Connecticut, Virginia, Utah and Texas) have the rights described in section 11. In the past 12 months we have collected the categories of information described in section 3 (identifiers, commercial information, approximate geolocation, internet activity and, for partners, professional information) for the purposes in section 5, and disclosed them to the categories of recipients in section 6. We do not sell or share personal information as those terms are defined under the CCPA/CPRA, and we honour Global Privacy Control signals as a request to opt out.
European Economic Area and United Kingdom
If the GDPR or UK GDPR applies, we are the controller of the personal information described in this policy, and the legal bases we rely on are set out in section 5. You may lodge a complaint with your local supervisory authority.
13. Children
AskBooked is intended for adults. Children’s activities must be booked by a parent or guardian aged 18 or over. For those bookings we collect only minimal details about the child (such as age, level and, optionally, a first name), which are provided by the parent or guardian and shared with the provider for the booking. We do not knowingly collect personal information directly from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
14. Cookies
Our public website does not use advertising or cross-site tracking cookies. The partner portal uses a strictly necessary, secure session cookie to keep partners signed in, and Google Firebase Authentication may store sign-in state in your browser. You can clear cookies in your browser settings, but you will need to sign in again.
15. Changes to this policy
We may update this policy from time to time. The “Last updated” date shows when it last changed. If we make material changes, we will notify you through the service or by email where appropriate.
